Organising a Session

A West Marches campaign is fundamentally different from the usual D&D campaign. With no set narrative and a large roster of players, there need not be a set weekly time for games. Instead, players collaborate during their downtime to decide on their next objective, organise a party, and select an available playtime from my schedule. A party needs to have at least five members in order to head into the West Marches. Games need to be arranged with at least 5 days' notice so that I have time to make preparations, but you're otherwise free to lock in any available slot I might have on my schedule. Sessions are limited to 4 - 4.5 hours for sanity reasons, but you need not return from your adventuring at that point. You can choose to leave your characters in the field, in which case any information they have cannot be shared with players back in town. There is no limit to how many times a player can play each week beyond my schedule, although each session does incur the usual session fee. How to Organise a West Marches Session Step #1 - Choose a day and time. The first step is to consult my schedule and pick a day, date, and time that you would like to recruit players for. Do not book a time slot. You are just checking my schedule to make sure your planned time is feasible. You only book a slot when you have a full party of five or more, and have confirmed availability with me. You can consult my schedule here . Step #2 - Post your recruitment thread When recruiting, bear in mind your date is not yet set in stone. Your day of the week and time, however, should be a good indication for potential signups. Those signing up should post which dates they are available/unavailable, as this will help the organiser finalizes a time and date. Once you have a full party of 5+, you can progress to step 3. Step #3 - Confirm Date Now that you have a full party, you can contact me (over Discord or on Roll20) and ask me to book the time slot. I will check my schedule for the week - including all other booked games - and either say "Yep. Let's lock it in" or "Sorry, there are no free slots that week. Will the next week in the same time slot work?" Once I have given the all clear, you can go ahead and make a booking on my schedule . Step #4 - Make Payment Once you've locked in your session, all players must make payment of their $20 USD via PayPal ( cwbush@aussieontheroad.com ). Only when all players are paid up is your session confirmed. In the event you need to quit a session after you've signed up, you can do so by providing 48 hours notice. I'll then refund you the amount (less PayPal fees). Alternatively, you can push your paid deposit towards your next game. Posting a Session When posting a sign-up thread, please ensure the following format is used. Title The title should read QUEST: (Quest Name) (Day) (Time Zones: Please include AEDST/PST/GMT/GMT +4/+your time zone) Post Please include the table below in your sign-up thread. Player Character Detail Party Role Passive Perception Survival (Bonus + Trained/Untrained) Quest Details Please include either a copy of the quest's descriptive text from the Rumors post or a summary in your own words. Requirements If you have any level or class requirements, please include this in your sign-up thread to avoid any confusion. In-Game Start Date Please consult the calendar and choose an appropriate start date for your quest. Remember, this will impact which characters will be available to join your quest.
Updated with revised availability. Sessions are still four hours' long, but it will say 'two hours' on Calendly. This was necessary to ensure people could book slots later in the evening.
Updated with additional rules re: posting a game sign-up thread.
Updated with revise rules in effect as of June 1st.
Updated to reflect the new Google Calendar link replacing Calendly.
